These Payment Terms and Refund Policy apply to all participants registered for the Atlético de Madrid - Spain Team Experience organized by WIMS. By registering for the program and submitting payment, the participant and/or the participant’s parent or legal guardian acknowledges and agrees to the terms set forth below.
1. GENERAL REFUND POLICY
All payments made toward participation in the program are considered final and non-refundable, except for the specific conditional refund provisions expressly stated in this Policy. Any refund eligibility is subject to strict compliance with all applicable payment deadlines, refund deadlines, and documentation requirements established below.
2. PAYMENT STRUCTURE
The total Player Package price is $2,880.00 per player.
At the time of registration, each participant is required to make an initial $400.00 Player Package Reservation Payment. The remaining $2,480.00 Player Package balance will then be divided into four (4) substantially equal installment payments due on the following dates:
Participants may also elect to participate in the optional Team Flight. Participants selecting this option must make an additional $100.00 Team Flight Reservation Payment at the time of registration. The remaining Team Flight balance will be incorporated into the same four (4) installment dates listed above.
3. NON-REFUNDABLE PAYMENTS
Once a participant selects their applicable payment option - Player Package Only or Player Package + Team Flight - all amounts included within that option will be treated as one combined package for the purposes of the payment schedule and refund policy. For participants selecting the Player Package + Team Flight, individual installment payments are not allocated separately between the Player Package and Team Flight. Instead, the total combined balance is divided across the established payment schedule.
The following payments are strictly non-refundable:
The installment due on February 4, 2027, is subject to the conditional refund provisions established in this Policy.
For participants who select the Player Package + Team Flight, any refund eligibility applicable to a later installment will apply to that installment as a whole, rather than separately to the Player Package and Team Flight portions, except as specifically provided under the Team Flight Commitment provisions below.
Match Tickets
Any tickets purchased for a Spanish professional football match are
non-refundable once purchased or committed on behalf of the participant.
4. TEAM FLIGHT COMMITMENT
The Team Flight is an optional service available to eligible participants. Once a participant selects the Team Flight option, the $100.00 Team Flight Reservation Payment and the Team Flight portion of the first two installment payments become a binding financial commitment of the participant.
The Team Flight portion of the following payments is therefore non-refundable and remains payable regardless of when the participant cancels the Team Flight. Cancellation of the Team Flight does not eliminate the participant’s obligation to pay the Team Flight portion of these amounts if they have not yet been paid.
Cancellation Before January 1, 2027
If a participant cancels the Team Flight before January 1, 2027, only the Team Flight portion of the final two installments may be removed from the participant’s remaining balance, provided those installments have not already been paid:
If any of these installments have already been paid at the time of cancellation, the Team Flight portion included in that payment remains non-refundable.
Cancellation On or After January 1, 2027
If a participant cancels the Team Flight on or after January 1, 2027:
Cancellation of the Team Flight does not affect the participant’s obligation to complete all remaining payments associated with the Player Package.
5. CONDITIONAL MEDICAL REFUNDS
Conditional medical refunds are available exclusively for the installment due on February 4, 2027, subject to the requirements established in this Policy. To qualify, valid medical documentation must confirm that the player is medically unable to train or compete during the trip.
February 4, 2027, Installment
A 50% refund of the February 4, 2027 installment may be issued when:
After February 13, 2027, the February 4, 2027, installment becomes fully non-refundable.
Medical Eligibility
Refunds under this Section apply only where the player’s medical condition prevents participation in training or competition during the trip.
Injuries or medical conditions from which the player is reasonably expected to recover in time to participate in the trip do not qualify for a conditional medical refund.
For participants who selected Player Package + Team Flight, any applicable refund percentage will be calculated against the entire applicable installment payment, including both the Player Package and Team Flight components, subject to the specific Team Flight provisions established in Section 4.
6. REFUND REQUEST PROCEDURE
All conditional refund requests must be submitted in writing via email to: ruben.ramirez@wims.es and ethan.kim@wims.es
The date and time the email is received by WIMS will determine whether the request was submitted within the applicable refund period. All required medical documentation must be included with the initial request. WIMS may request additional reasonable documentation when necessary to verify the participant’s eligibility.
7. MEDICAL DOCUMENTATION REQUIREMENTS
To qualify for a conditional medical refund, the participant must provide:
A doctor’s letter without appropriate supporting medical evidence may be considered insufficient where diagnostic testing would ordinarily be expected for the condition.
For medical conditions where imaging or scans are not reasonably applicable - including certain concussions, respiratory illnesses, internal medical conditions, or other serious illnesses - WIMS may accept alternative official medical documentation sufficient to establish that the player is medically unable to participate.
WIMS reserves the right to request additional reasonable medical documentation where necessary to verify a refund request.
8. PAYMENT DEADLINES & REFUND ELIGIBILITY
All required payments must be made on or before their applicable due dates in order for the participant to remain eligible for a conditional refund.
WIMS will maintain records of the date and time each payment is received.
For Zelle payments, a payment will be considered timely when verifiable documentation confirms that the transfer was initiated before the applicable deadline, even if the funds are received later due solely to bank processing times.
If a participant fails to make any required payment by its applicable deadline, the participant will forfeit eligibility for conditional refunds on subsequent installments, even if those later installments are paid on time.
The only exception applies to participants who officially join the program after one or more established payment deadlines have already passed. In such cases, WIMS may provide the participant with an adjusted payment schedule, and compliance with that schedule will determine refund eligibility.
Only participants who remain fully current with their applicable payment schedule will be eligible for consideration under the conditional refund provisions of this Policy.
9. FORCE MAJEURE & CIRCUMSTANCES BEYOND WIMS' CONTROL
If the trip is canceled, interrupted, delayed, or materially affected by circumstances beyond the reasonable control of WIMS - including, but not limited to, natural disasters, severe weather, acts or restrictions of government, pandemics, public health emergencies, airline cancellations or disruptions, strikes, civil unrest, or other unforeseen circumstances - refunds are not guaranteed.
Any refund or credit available under such circumstances will depend entirely on the amounts WIMS is able to recover from third-party providers and suppliers, including, but not limited to:
WIMS will not be required to refund amounts that have already been paid or committed to third-party providers and are not recoverable by WIMS.
10. ACKNOWLEDGMENT & ACCEPTANCE
By registering for the program and submitting payment, the participant and/or the participant’s parent or legal guardian confirms that they have reviewed, understood, and accepted this Payment Terms and Conditions Policy in full.
All payment obligations, cancellation terms, non-refundable amounts, Team Flight commitments, deadlines, and refund conditions stated in this Policy will apply throughout the participant’s registration in the program. Any exception, modification, refund, credit, or waiver outside the terms expressly stated in this Policy must be approved in writing by WIMS. Verbal agreements, representations, or exceptions will not modify the terms of this Policy.
